Data Sharing & Distribution Policy

INTRODUCTION

The following policy is intended to explain how New Mind processes your tourism business data and who we may potentially share it with for the purposes of promoting your business.

Like NVG, we supply e-Tourism Solutions to Destination Management Organisations (DMOs) across the UK. DMOs are the organisations with the official remit to promote a particular destination. Examples include Marketing Liverpool, Destination Bristol, Go Lakes etc, and they also promote your business via data you have provided to them for that purpose.

The DMOs use our web-based technology (Guestlink, DC.net, the Destination Mnagement System and Extranet) to collect data about all types of tourism business, such as - accommodation, attractions, activities, restaurants and bars, retail, events etc.

As a tourism business, you will have already supplied this data to the DMO by email, by paper form or through direct logon to one of the platforms above.

The data you have supplied about your tourism business is primarily used for display on the relevant DMO website e.g. VisitLiverpool.com and, as such, it is already in the public domain.

DATA SHARING

New Mind is now able to aggregate all such tourism data from our DMO clients into a single database called the Tourism Aggregated Dataset (TAD UK)

It has been identified that many organisations targeting specific segments of the tourism and travel market have a requirement for up-to-date, accurate and rich tourism information and, until now, there has been no means of easily acquiring it.

Examples of these potential publication channels include Tourism for All, Hudson’s Heritage, Staytripper etc.  Whilst the inclusion of your business’s data in the TAD (UK) means your business’s data is available to these publication channels, it does not guarantee publication on any particular channel. 

The appendix to this policy details the current potential publication channels available and New Mind will add any new publication channels to the appendix as and when they arise.

As a tourism business, you can opt out of being published on the UK Tourism Database on request at any time. Please email us at datacontroller@newmind.co.uk should you wish to opt out.

DATA PROTECTION PRINCIPLES

Under GDPR, all personal data obtained and held by us must be processed according to a set of core principles. Most of the data we collect and process relates to business rather than individuals, however as we process this data in accordance with GDPR principles, we will ensure that:

  1. processing will be fair, lawful and transparent
  2. data be collected for specific, explicit, and legitimate purposes
  3. data collected will be adequate, relevant and limited to what is necessary for the purposes of processing
  4. data will be kept accurate and up to date. Data which is found to be inaccurate will be rectified or erased without delay
  5. data is not kept for longer than is necessary for its given purpose
  6. data will be processed in a manner that ensures appropriate security of personal data including protection against unauthorised or unlawful processing, accidental loss, destruction or damage by using appropriate technical or organisation measures
  7. we will comply with the relevant GDPR procedures for international transferring of personal data

We acknowledge that processing may be only be carried out where a lawful basis for that processing exists and we have assigned a lawful basis against each processing activity.

New Mind has a legitimate Interest in sharing the tourism data from our DMO clients to additional publication channels.  Examples of these additional publication channels include Ordinance Survey, Tourism for All, Hudsons, Heritage, etc.  Additionally, all data shared is already in the public domain.

ACCESS TO DATA

You can request details of the data we hold and share on request.  It will however be exactly as the data you supplied to your local DMO. Please email us at datacontroller@newmind.co.uk should you wish to view or access this data.

DATA SECURITY

We have in place security measures to prevent your data from being accidentally lost, used, altered, disclosed, or accessed without authorisation.
